For applying a job, there are many ways. Most of the organization ask to submit job application by filling up job application form in their own online system or by an email.

Some of the companies related to hospitality and retail still may ask you to apply for the job position personally i.e. submitting job application form or resume by hand.

Now with the time the application method changed and many of the companies are accepting job application by online ways.

One of the most common ways to apply for the job position is sending an application letter with the help of an email.

Job applicant should follow proper email format for job application to make good impression on recruiter.

How to Apply for Jobs using email?

First follow all the instructions mentioned in the job description and if employer ask to send a resume along with cover letter by email then only send an email.

Include a brief cover letter when you share your resume by email, which is very important. This will help you to make your first good impression on the hiring manager.

Also, please follow good and professional language while writing cover letter.

Your job application email is actually a cover letter. Which is written to get to know the email recipient that;
  • Why you are writing the email?
  • Which job you are applying?
  • What are your qualifications?
  • What you can offer to the company?
  • How you can follow up?
  • How the email recipient can contact you?

What do I write in an email when applying for a job?

Here are tips for how to write job application email;

First of all your email should not have to be long in length.

Subject line: As many emails are received daily by hiring managers for a particular job position, we have to make it easy for them to filter these job application emails. In the subject line of an email include your name and the job title you are applying. If in that job description any job posting number is mentioned then use this also in subject line.

For example;

Subject Line of an email: Michael Bandel – Senior Design Engineer Position

Salutation in the email: In most of the job description the hiring manger or HR manager mention their names. While writing email address your email to that person.

If you don’t have any name then you can determine this by checking the company's website or you can call their front office to get recruiters details.

In the case of unavailability of name, you can write, "Dear Hiring Manager," or “Dear Sir and Madam,” as mentioned in the below sample email. Also, you can use the more formal, “To Whom It May Concern”.

First paragraph of the email: First paragraph of your email is important because it explains why you're writing this email i.e. reason of writing the email. In this paragraph mention where you saw the job posting (job portal, company website, newspaper, referred by company employee, etc.) and the date when the job is posted.

Also, mention friend’s or colleague’s or company employee name here.

Middle paragraphs of the email: These sections of the email are where you can create a place for your candidature. Mention here, “Why you are suitable candidate for this job position?”, “What can you offer to the company?”. Also, summarize (don’t copy your full resume) your most relevant jobs and responsibilities along with your accomplishments.

Final paragraph of the email: In this paragraph give thanks to the email recipient for reading your email and mention that your resume is attached with the email. Also, mention how and when you will follow up.

Closing section: Closing of an email should be polite, such as; “Thanks”, “Regards”, "Best" or "Sincerely," to sign off your email. After that write your full name.

Signature at the end of an email: Email signature is an easy way to provide contact information to email recipients. Mention your name, email address, phone number, and URL of LinkedIn profile.

Finally attach your resume with the email in MS Word format or in PDF format or as mentioned by recruiter in job description.

Job application email sample for freshers
